faculty / staff information > course reserve guidelines

Instructors may place required reading for their courses on reserve in the library, enabling students to access course materials in a centralized location. In order to expedite the process of getting your materials on the shelves, we ask that you follow these guidelines.

When to Submit Reserve Lists:

Lists and materials submitted by these deadlines will be processed for the first day of classes:

Fall Semester: August 1st

Spring Semester: December 15th

Bard Term: April 15th

All reserve requests are processed in the order in which they are received. Although we will do our best to process requests as soon as we get them, lists submitted after the deadlines cannot be guaranteed completion by the first week of classes. If you need to add materials to your course during the semester, please submit added materials at least one week before readings are assigned. Please advise your students that materials to be added to reserve shelves must be approved by you and then submitted to the library to be officially added and updated in the library catalog. Submitting all lists and materials at once is very helpful in making materials available in a timely manner.

Note: Some books may be on reserve for two classes. These items will have one class location listed in the library catalog, but two class stickers on its spine.

Where to Submit Reserves Lists:

Faculty may request that items be placed on reserve in person or by email to Rebecca Friedman: reference@bgc.bard.edu

How to Place Materials on Reserve

Library Books
· To place library books on reserve, please submit a list of citations that includes the author’s full name, title, publisher, edition and call number. To avoid confusion, the title for each item listed should be consistent with the way it appears on the students’ syllabus or reading list.
· If your course has been given before and you do not anticipate many changes, please contact the library to re-activate your previous list from our files.
· If a requested book is not in our collection and is within the library’s scope, we will order it. Because some titles are out-of-print or take several weeks (or months) to receive, we may ask that you consider an alternate edition or place a personal copy on reserve.
· Library-owned journals and reference books will not be placed on reserve.
· Because of space considerations, each course receives two shelves to house their reserve material (this allows for an average of 50 books). If your reserve reading exceeds the space allotted for your course, you will be contacted by the library staff.
· By the first week of classes, please submit a copy of your course syllabus to the library office. The syllabus helps us to keep track of your reserve materials and to anticipate any changes. Your syllabus will be used only by library staff for this purpose and will not be available to anyone else.

Photocopies and Personal Material
· The library cannot photocopy materials for reserve. Faculty members must provide their own photocopies. Please deliver them to the library and we will place them in a protective sleeve and mark them with the appropriate label. At the end of the semester, all personal materials will be returned.
· All photocopied material must be in compliance with the United States Copyright Act of 1976, Section 107.
