Fine Art, Archives, and Special Collections

The following guidelines for class access have been developed to facilitate the use of collections while maintaining the safety and security of the irreplaceable objects and material culture owned and entrusted to the Center for Curatorial Studies and Hessel Museum of Art. These guidelines include information for those who wish to either visit the Museum’s public galleries with a class, view objects in the new Collection Teaching Gallery, as well as conduct research in the new Archives and Special Collections area.

Visiting Public Galleries with Your Class

A visit to an exhibition in the Hessel Museum and CCS Bard Galleries may be the best option for large classes, survey courses, or situations in which an introduction to the venue and a particular exhibition is desired.

The CCS Bard Galleries and Hessel Museum of Art are open on a specific exhibition schedule, Thursday – Sunday 11am – 6pm. Visit our website for the schedule. www.bard.edu/ccs.

To schedule a gallery visit the professors should contact Marcia Acita, acita@bard.edu or 845.758.7576 to ensure no conflicts with previously scheduled tours or events.

Upon arrival we ask that you check in at the reception desk so we can maintain an accurate count of daily attendance. This also helps us assist any late arriving students to meet up with your group.

Faculty must notify their students beforehand that backpacks, oversized bags, food, and drinks are not permitted in the galleries. Items may be placed in lockers located in the coatroom. No packages will be held at the reception desk.

A pad of paper and pencil may be taken into the gallery for class assignments. Remind students to bring pencils.

Photography is not permitted due to copyright conditions.

Gallery rules are posted in the reception atrium for your convenience.

Viewing Objects by Request

Seeing objects that are not on display is a rare and exciting opportunity for students. Object study works best for small classes, seminars, or groups of 20 or fewer students. Bard College faculty should submit a list of objects and/or archival materials for study viewing when planning their syllabus to ascertain availability and guarantee an appointment in the semester that the class is being taught. All other requests should be made four weeks in advance.

Collection Teaching Gallery

The Collection Teaching Gallery is a new space designed as a viewing and study gallery for fine art, archives, and special collections in a classroom context. It is a limited access space situated within the CCS Bard Galleries. The Collection Teaching Gallery is scheduled for class visits through advance appointments only.

Provide the following information

1. Name

2. Title

3. Course name

4. Number of students / researcher in group

5. Day and Date requesting appointment; alternate date

6. Arrival time at CCS

7. Departure time

8. List of collection materials / objects to view / or subject of interest

To ensure object safety and security, each class group should have at most a 10:1 student-to-staff ratio.

All persons must sign in to be granted access. In the case of a class, the professor must sign in indicating the number of students in attendance.

All persons will be issued an Archives or Collection Teaching Gallery access badge for the visit.

Professors or group leaders are responsible for the behavior of their groups at all times.

All members of a class will enter the Collection Teaching Gallery and Archives at the same time for an introduction. If all members of the class are not present in the lobby at the appointed time the starting time of the viewing session may be delayed but most likely the session will begin and latecomers may not be admitted.

Coats, briefcases, backpacks, computer cases, purses and other belongings must be left in the coat room or lockers.

Use pencils only.

Food and drink, including gum, candy, and water, are prohibited from the Collection Teaching Gallery and Archives.

Photography is not permitted.

Do not place notebooks, notepaper, or computers on top of or near collection materials.

Students will be encouraged to look at objects, but only designated Museum and Library & Archives Staff or those who have been trained in object handling will be allowed to handle objects

Do not lean on the walls or shelves.

Viewing Objects in the Museum Storage Area

The Director of Exhibition will determine if a viewing will take place in the museum storage area rather than the Collection Teaching Gallery or in addition to the Collection Teaching Gallery.

The maximum number of individuals allowed in a storage area at any one time is 10.

For security reasons, students who are late will not be permitted to join their class group in storage.

Faculty must notify their students beforehand that no coats, bags, food, or drinks are allowed in the Collection Teaching Gallery or storage areas. Items may be placed in lockers located in the reception atrium.

Photography is prohibited in the storage areas.

Pens, highlighters, and markers are prohibited in storage areas.

Students will be encouraged to look at objects, but only designated Museum Staff or those who have been trained in object handling will be allowed to handle objects.

Reservations and Timely Arrival

All reservation for the Collection Teaching Gallery will require a final confirmation and schedule with Marcia Acita in order to facilitate adequate staffing for collections movement, security personnel, and time for general preparations and handling of materials and objects.

Example: A CCS class appointment with Ann Butler for viewing of archival material in the Collection Teaching Gallery requires a cc: and confirmation from Marcia Acita prior to publishing it on the GCal. Appointment with Ann Butler or Ryan Evans, in the archives study room will be confirmed with Marcia by the staff themselves.

Since staff will be specifically scheduled to coincide with appointment times we request timely arrival and consideration for all appointments.

Appointments will end at the appointed time. All materials and objects are returned to storage at the end of each viewing session. This time is built into the staff schedule for the appointment and must be completed within facility hours for limited access areas.

The Role of Security Staff

CCS Security staff persons are responsible for access to all museum, gallery, and collection areas. All limited access areas require prior authorization from the area director, registration in and out at the security reception desk, a visitor or researcher badge to be worn in plain view, and adherence to all rules of protocol prior to being escorted to the appointed area.

Hours of Operation

The CCS Bard Archives, Special Collections and Collection Teaching Gallery will operate by appointment only between 10:00 am – 4:00 pm Tuesday – Friday.
