Assistant Director of Alumni/ae Affairs

Position Description

Bard College seeks an Assistant Director of Alumni/ae Affairs who is focused on volunteer relationship management. The Assistant Director works closely with the Alumni/ae Association Board of Governors, oversees committees and manages growth and success of the Bard Affinity Group program and the stewardship of the alumni/ae volunteers involved in the Career Development Office's programs. The Assistant Director will manage volunteers in reunion classes and assist the Director in managing prospects, visits and stewardship of alumni/ae. They are expected to attend events, either in person or online, serve as a representative of the alumni/ae office and Office of Development and Alumni/ae Affairs. They will be responsible for the office budget.

The Assistant Director will report to the Director of Alumni/ae Affairs.  A successful candidate will be a highly-organized multi-tasker, comfortable in a fast-paced, creative department that seeks to respond to the expectations and needs of their constituents while maintaining focus on the goal of increased alumni/ae financial support of the college. They will be a creative strategic thinker and problem solver who works well in a team environment and has a strong attention to detail. They will have excellent writing, communication and data manipulation skills. This position requires a confident, collaborative and diligent individual who has a commitment to liberal arts education and is interested in the work of Bard College.

Bard College’s main campus is in Annandale-on-Hudson, N.Y., with 1,900 undergraduate students; the College also includes multiple graduate programs. The 1,000-acre campus sits along the Hudson River and offers the Fisher Performing Arts Center, and Hessel Museum of Art, and is the home of the Bard Prison Initiative, the largest college-degree-granting prison education program in the U.S. The Bard Network also includes several Bard High School Early Colleges across the country as well as international campuses and partnerships. The Bard Network is complex and demonstrates Bard’s priorities well in addition to the College’s emphasis on civic engagement.

ESSENTIAL DUTIES
  • Manage and steward volunteers in the Alumni/ae Association Board of Governors. 
  • Strengthen and grow the Affinity Group program at the college, creating timeline, onboarding, regular events and alumni/ae satisfaction.
  • Work closely with the Career Development Office on alumni/ae volunteer participation and stewardship. 
  • Update and create webpages for Affinity Groups, Board of Governors and other programs.
  • Create and maintain a Class Agent structure and pipeline, with assistance from Engagement Associate. 
  • Maintain a successful workflow to keep the department on task to fulfill strategic goals and adhere to a clear timeline of communications, projects and responsibilities. 
  • Generate and manipulate lists from the college’s database.
  • Organize, manage and attend alumni/ae events and oversee specific reunion classes.
  • Oversee the budget of the Office of Alumni/ae Affairs
  • Input all volunteer engagement information into the database and respond to alumni/ae inquiries. 
  • Other duties as needed. 
REQUIRED KNOWLEDGE, SKILLS and ABILITIES
  • Bachelor's degree 
  • Experience in project management demonstrating excellent written and oral communication skills.
  • Knowledge of and experience with content management systems, website flow and structure, email marketing, and video editing.
  • Strong attention to detail and accuracy, including the ability to proofread diverse materials for grammar, style, voice, and continuity.
  • An organized and detail-oriented self-starter with a track record of handling multiple projects with rapid turnaround.
  • Excellent prioritization and problem-solving skills.
  • Proven ability to work both independently and as a member of a team.
  • Must be able to build relationships with and support an alumnx and student body that is broadly diverse with regard to race, ethnicity, socioeconomic status, gender, gender identity, nationality, sexual orientation, and religion.
PHYSICAL REQUIREMENTS
  • Must be able to sit for extended periods of time and work in standard office environment.
  • Must be able to occasionally lift 20 pounds.
  • Must be able to work occasional weekends and evenings as needed.
