Email

Zimbra is the name for our older campus e-mail system also known as BardMail.

Bard Gmail is the name of our email system as we migrate into Gmail and Google Apps.

Email Login

 


BardMail/Zimbra (Email):

All password changes can be performed by going to the email password change tool.  If you do not know your current password, please call the HelpDesk at 758-7500 with your Bard ID number handy so they can reset it. To log in to your email, access e-mail forwarding, vacation messages, and quotas, go to BardMail.

   

Email Password Change
BardMail quotas are:

Student Quotas: 500MB
Faculty & Staff Quotas: 1.5GB
Ability to send e-mails/attachments: up to 25mb

Checking Your Quota in BardMail

  1. Login to BardMail using your Bard Username and Password.
  2. Hover your mouse cursor over your username in the upper right hand corner.
  3. You will see a graphic box indicating your quota status.

Checking Your Quota in Thunderbird

  1. Login to your Mozilla Thunderbird email account.

  2. Right-click on Inbox under the account you want to check, and select Properties.
  3. In the new window, click on the Quota tab to see your server quota.

Checking Your Quota in MacMail

  1. Login to your MacMail email account.

  2. Right-click on the Inbox and select Get Account Info.  Click the Quota Limits tab to see your quota.

If any of these quantities are getting too high, it is recommended that you make some effort to clean up your e-mail by deleting messages or filing messages in folders.

When Your Quota Nears its Limit

To clear some quota space, consider doing some of the following:

  • Deleting your spam and trash folders regularly.
  • Delete emails with large attachments.
  • Moving some of your emails to “local” folders. Remember that “local” folders are on your computer hard drive only and cannot be accessed in BardMail or any other computer. Local folders are best for personal and/or less important email.  They do not affect your quota.

The following settings can be used to configure desktop email clients such as Mozilla Thunderbird or Mac Mail, as well as many mobile devices. The Bard helpdesk is able to provide assistance with configuring desktop email clients.

HelpDesk supports the following desktop clients: Mozilla ThunderbirdMac Mail, or Zimbra Desktop.

Email Client Server Settings

Incoming mail server:

  • Account Type: IMAP
  • Incoming Server: imap.bard.edu
  • Incoming Secure Connection: SSL
  • Incoming Username: Bard username
  • Authentication: Bard password

Address book server:

  • LDAP Name: bard
  • LDAP Hostname: ldap.bard.edu
  • LDAP Base DN: o=bard.edu

Outgoing mail server:
For laptops, mobile devices, and off-campus computers:

  • Outgoing server: smtp.bard.edu
  • Authentication is required, type is: password

Mobile Devices

  • Account type: Exchange
  • Domain: bard.edu
  • Server: imap.bard.edu
  • Outgoing Server: smtp.bard.edu

If you need help adjusting these settings on a desktop email client, please contact the HelpDesk. Although the Bard HelpDesk does not support mobile devices such as phones or tablets, you can configure your mobile device using the settings above. Contact your mobile device’s vendor for all other questions and connection issues.

Phishing attempts are emails maliciously sent under the guise of a trusted source, such as Bard IT, that requests you to enter your account information into a mock-up version of one of our sites or utilities. As we will never request your password, any emails of this nature, should be considered suspicious and if you are ever uncertain, you should contact HelpDesk.bard.edu. If you think your account has been compromised:

  1. Change your password.
  2. Check Zimbra settings.
  3. Contact HelpDesk@Bard.edu (if necessary).
BardMail forwarding is managed from within BardMail. To forward your BardMail to a different account (ie. Gmail):
  1. Login to BardMail.
  2. Click on the Preferences tab
  3. In the left column, click the Mail icon
  4. Scroll down to the Receiving Messages section.
  5. Enter your preferred e-mail address in field associated with Forward a copy to:. Make sure to check the box indicating Don’t keep a local copy of messages to ensure that this e-mail is only sent to your preferred account.
  6. Click the Save icon at the top of the Preferences frame.
Vacation messages are managed from within BardMail. To set your vacation/auto-reply message:

  1. Login to BardMail.
  2. Click on the Preferences tab
  3. Then, in the left column, click on the Mail icon
  4. Scroll down to the Receiving Messages section.
  5. Check the box next to Send auto-reply message: and enter your message and the date span for which you would like the message sent.
  6. Click the Save icon at the top of the Preferences frame.

Bard Gmail:

You will have unlimited storage space in Gmail and Google Drive (no more quota warnings!).

Mobile Devices

Android: use Gmail application

  • To setup your Gmail on an Android phone:
    • Open the Settings menu and go to Accounts (& sync settings) on your device.
    • The Accounts settings screen displays your current sync settings and a list of your current accounts.
    • Touch Google to add your Google Apps account.
    • Sign in with your full Bard Username and account.

iDevices: use Google option

  • To add Google account (Gmail and contacts) to the iPhone 6 and iPhone 6 Plus:
    • Go into Settings.
    • Select the Mail, Contacts, Calendars tab.
    • Tap on Add Account.
    • Select the Google tab.
    • Sign in with your full Bard Gmail username and password and hit Next.

You can create an automatic respond message in Bard Gmail that will be sent to anyone who emails you during a specific time period.

  1. Login to your Bard Gmail.
  2. Click the Settings Gear button in the upper right hand corner of the window.  8-15-2016 1-31-36 PM
  3. Click the General tab. Scroll down until you see the Vacation Responder section.

  4. Fill out the information necessary > Click the radio button for  Vacation responder on when you’re finished > click the Save Changes button.
