Administrative Assistant, Office of Undergraduate Admission
Employer Website: http://apply.interfolio.com/104897The Admission office at Bard College seeks an Administrative Assistant to support its organization and office functions, as well as to provide direct support to the Assistant Director of Communications: Events and Office Operations. This is a full-time, year round, non-exempt position.
Primary Responsibilities
- Scan, file, and upload physical documents that arrive through the mail
- Provide support to the Registrar as needed
- Assist with scheduling, implementing and monitoring student workers
- Open and distribute mail
- Report meter reads and other printer/scanner related needs to the supplier
- Oversee the inventory of materials in the admission lobby and the front lawn kiosk
- Troubleshoot questions or concerns of student workers, staff, counselors, or visitors and execute impeccable customer service when working with visitors
- Fulfill secondary and high school requests for admission materials and swag
- Assist with printed materials and swag inventory
- Manage the English Proficiency Test waiver form for international applicants
- Update and keep track of tour guide contact information
- Update information about campus for tour guide shared drive
- Update counselor contact sheet
- Proof, fold, and stuff admission letters and other communication materials
- Assist with internal mailings and liaise with the Bard post office personnel
- Organize tour guide parties and staff gatherings
- Research and update accommodations and restaurants list on the College website
- Organize and update tour guide binder
- Assist in answering the office phone
- Input inquiries from admission partnerships into the office database
- Support Admission Counselors as directed
- Take care of parcel and material pick up
- Assist with managing marketing vendors partnerships
- Other office duties as assigned
- Associate’s or Bachelor's Degree required
- Experience in an office setting
- Excellent organization skills and impeccable attention to detail
- Working knowledge of Google Suite and Microsoft Office
- Ability to learn new skills quickly, including those related to new technology
- Professional presentation and demeanor
- Ability to work independently and with a group
- Customer service experience
- Excellent communication and writing skills
- Ability to lift boxes and items of at least 40 lbs
