Apply Here: https://apply.interfolio.com/179279The Administrative Coordinator is a full-time, in-person position in the Office of Institutional Support (OIS), part of the Office of Development and Alumni/ae Affairs (ODAA). The position Coordinates and executes the administrative tasks, project management, written communications and support functions associated with the fundraising activities of OIS with the highest level of professionalism, confidentiality, organization and exemplary customer service. This position reports to the Director, OIS.
Essential Duties and Responsibilities
- Provides key proposal and grant reporting support to the Office of Institutional Support for submission of materials, collection of supporting information and packaging and coordination of meetings and signatures related to grant proposal submissions.
- Coordinates the tracking of prospect management for corporate, foundation and government relations programs and maintains the OIS Grant Calendar.
- Manages the OIS meeting calendar.
- Works closely with the Director to manage the departmental budget.
- Creates social media, print media and other marketing and outreach materials and maintains OIS presence on these and related platforms.
- Manage the OIS student worker time sheet and, in consultation with the Assistant Director, OIS, assign tasks to the student worker.
- Supports the Office of Prospect Research as needed, including updating prospect lists, screening the weekly gift report through iWave, Tessitura screenings, and working with the Development Services team to update obituaries into Slate.
- Participates fully in ODAA events, as assigned.
- Performs other duties as assigned by the Director, OIS.
- Bachelor's degree or equivalent.
- Proven years of experience in a related field.
- Ability to exercise appropriate level of professionalism and discretion when dealing with information of a highly confidential nature.
- Detail oriented with a proven track record of successful proactive management of deadlines and timelines.
- Ability to work independently and efficiently in solving problems within a fast paced and deadline driven environment.
- Experience with Microsoft Office, Google Suite, PowerPoint, and Excel.
- Excellent verbal and written communication skills.
- Ability to research, compile, and summarize data for reports.
- Experience in higher education, art & cultural institutions, and/or the nonprofit sector.
- Working knowledge of database systems such as Banner or Slate is a plus.
- Office management experience or customer service experience is desirable.

Salary Range: $60,500 - $62,400
