Users are required to have a Google Account in order to use and share Google Calendars, however the mobile app supports synchronizing with 3rd party calendar services.

Google Calendar FAQs

How do I share a calendar?
To share your calendar with specific users, go to www.google.com/calendar and login ORlogin to your Bard Gmail>click the Google Apps icon>select Calendar, then follow the steps below.
  1. In the calendar list on the left sidebar, click the down-arrow button next to a calendar, then select Share this calendar.
  2. Enter the email address of the person you want to share your calendar with.
  3. From the drop-down menu on the right side, select a level of permission, then click Add Person.
  4. Click Save.
NOTE: Once you click Save, the person you selected to share the calendar with will receive an email invitation to view your calendar. The person will need to click on the link contained in the email to add the calendar to his/her Other calendars list.  The calendar will not beautomatically added to the user’s Calendar account until they click on that link.
How do I change calendar settings?
To open up the settings for your calendar:click the Settings iconon the upper right of your window, then click Settings.
How do I set up a calendar on iPhone/Android?
IMPORTANT: Once you set up your Gmail account on your phone (see instructions below), you can then go into Settings and choose what to synchronize– Calendar, Contacts, etc. Select Calendar and Save.  You should then be able to click on your Calendar icon on your phone and view your Google calendar. NOTE: Some devices may be different in their setup, so these processes may vary slightly.

Setting up Gmail on Your Mobile Devices:
Android: use Gmail application
  • To set up your Gmail on an Android phone:
    • Open the Settings menu and go to Accounts(& sync settings) on your device.
    • The Accounts settings screen displays your current sync settings and a list of your current accounts.
    • Touch Google to add your Google Apps account.
    • Sign in with your full Bard Gmail username and account.
iDevices: use Google option
  • To add Google account (Gmail and contacts) to the iPhone 6 and iPhone 6 Plus:
    • Go into Settings.
    • Select the Mail, Contacts, or Calendars.
    • Tap on Add Account.
    • Select the Google tab.
    • Sign in with your full Bard Gmail username and password and hit Next.
How do I create/view new calendars?
Google allows you to have additional calendars beyond your default one. To create a new calendar, follow these steps:
  1. Log in to your Bard Gmail account and navigate to Google Calendar.
  2. In the sidebar, click the drop-down arrow next to My calendars > Choose Create new calendar.
  3. Enter a name in the Calendar Name field.
  4. Choose your privacy settings. Your main calendar (the one with your name as the title) is automatically shared with everyone within Bard College, but they can only see if you are free or busy. If you would like the events on this new calendar to show you as free/busy, check the Share this calendar with others box. The Share this calendar with everyone in the organization Bard College will automatically be checked. Then choose See only free/busy from the drop-down list. The calendar will remain private if you do not check any of the boxes.
  5. You can also share the calendar with specific people, like your department staff for instance. Under Share with Specific People, under Person, enter the full email address of the person(s) you’d like to share the calendar with. Click the drop-down arrow under Permission Settings to select what permissions to grant to specific persons. Click Add Person.
  6. Click Create Calendar. The calendar (name) appears in your left side bar. Click on it to view that calendar.
How do I view single/multiple calendars?
  1. Log in to your Bard Gmail account and navigate to Google Calendar.
  2. In the list of calendars on the left side of the screen, click the colored box next to the calendar you want to either add or remove from the main calendar.
  3. If you just want to view one particular calendar, click in the colored box next to the calendar you want to view and deselect the other calendars by clicking on the boxes next to them to removethe color from the boxes.
  4. When you create events/appointments in any calendar, you also have the option to choose what calendar to apply that event to by opening up the drop-down box under Calendarin the appointment creation box.
NOTE: A colored box next to a calendar means events from that calendar will appear on the main/default calendar. An empty box next to a calendar means events from that calendar will notappear on the main calendar. When you click the boxes next to calendars, check marks DO NOT – their designated colors appear when you click them.

NOTE: Calendar appointment/event colors become lighter as they move into any time period that is before the current time/date.
    How do I subscribe to Bard/other calendars and add holidays?
    How to Add the Bard Academic Calendar
    1. Navigate to https://www.bard.edu/academics/calendar/.
    2. Click the Subscribe to this calendarlink.
    3. In the Subscribe and Downloadpage, click the Downloadlink.
    4. Return to your Google Calendar.
    5. Click the drop-down arrow next to Other Calendarsin the sidebar and select Import Calendar.
    6. In the Import Calendarwindow, click Choose Fileand find the Academic Calendar file you just downloaded. (It should be in the Downloadsfolder.)         

      This is the name of the Academic Calendar file and the format type: iCalendar File.
    7. Also, in the Calendar area of the same window, click the drop-down box next to Calendarand choose which calendar you’d like the Academic Calendar to appear in.
    8. Click the Importbutton. The Academic Calendar events should now show in the calendar you chose for them to appear in.
    How to Add Holidays and Other Calendars
    1. In your Calendar view, click the drop-down arrow next to Other Calendarsin the sidebar and select Browse Other Calendars.
    2. A list of available holidays and their associated countries will appear. Select the one you want to add and click the Subscribelink to the far right of the holiday name.
    3. Click the Back to Calendar link at the top of the page.
    4. When you see the holidays you’ve chosen to add on the left sidebar under Other Calendars, make sure you click the colored box next to them so you will be able to see them.
    5. They should appear in your default and other calendars.
    NOTE: This process can be used/adjusted to add other similar type calendars.
    How do I create an event and invite people to it?

    1. Log in to your Bard Gmail account and navigate to Google Calendar.
    2. Click Create (located in the sidebar).
    3. Enter a title or description of the event in the Untitled event box.
    4. Fill in the rest of the information as necessary.
    5. Set the privacy of the event. Private will make the event details only visible to you (and other calendar owners, i.e. those you’ve shared with or delegated to). Public will make the event details available to anyone who has free/busy access to your calendar.
    6. Under Add Guests add the email(s) of the people you would like to invite to this event. Click Addso you can view the Guests below.
    7. Under Guests Can, decide what permissions you want your invitees to have.
    8. You will also see a message asking if you would like to send a message to invite your guests. Click Yes or No. If your guests get an invite, they can respond Yes, No or Maybe to the email and the results will show in the event when you open it on your calendar.
    9. Click Save at the top of the page.
    NOTE: If you need to move an event to a different day, you can click on the event in your calendar and drag it to the new day. Toedit the event, click the event and then click Edit event in the resulting window and adjust the information as necessary.

    NOTE: You can also create an event by clicking on the necessary day and the typing a description (including time and place) in the What box in the resulting window. Click Create event and the event, including the time, will appear on your calendar. You can click the event and then Edit the event in the resulting window if you would like to further edit the event information.

    1. Log in to your Bard Gmail account and navigate to Google Calendar.
    2. In the list of calendars on the left side of the screen, choose the calendar you want to edit and click its down arrow for the drop-down box.
    3. From the menu that appears, select the desired color from the color palette. The calendar color is changed.
    How do I clear the primary calendar?
    How do I clear the primary calendar?
    It isn’t possible to deleteyour primary calendar. However, you can clear the calendar of all events if you would ever want to start from scratch. To do so, follow these steps to clear your primary calendar’s events:
    1. Log in to your Bard Gmail account and navigate to Google Calendar.
    2. Click the drop-down arrow next to My calendars>Settings.

    3. Click on the primary calendar (the one with your name as the title).
    4. On the screen that appears, click the Delete all events in this calendar link near the bottom.

    5. In the popup that appears, you will be warned that you will permanently delete all the events from the calendar. Confirm this action by checking the box (“Yes, I definitely want to delete all of the events on my calendar”) and then click Delete all events.

    Follow these steps to delete a calendar from your calendar list:
    1. Log in to your Bard Gmail account and navigate to Google Calendar.
    2. In the sidebar, click the down arrow beside My calendars>Settings.
    3. Under My Calendars, click the link (name) of the calendar that you would like to delete.

    4. Near the bottom of the page, click Permanantly delete this calendar.

    5. In the message window that appears, confirm that you want to permanently delete the calendar by checking the box next to “Yes, I definitely want to permanently delete this calendar for everyone” > Click Delete for everyone.

    Note: For shared calendars, it is important to know if you want to delete a calendar or simply unsubscribe to it. Deleting will permanently delete the calendar and no one who shares it with you will be able to access it anymore. Unsubscribing will only remove your access to the calendar; others will still be able to use it. This can be done during Step 3 above. Instead of deleting the calendar, click on the Unsubscribe links to the far right of the calendar name.

    1. Log in to your Bard Gmail account and navigate to Google Calendar.
    2. In the sidebar, click the down arrow beside My calendars>Settings.
    3. Under My Calendars, click the link of the calendar that you would like to edit notifications for.

    4. In the Details window you can change how you get notified for regular events, such as appointments you’ve made for yourself OR for events that people have invited you to. Select or add the appropriate options in the Details window and click Save at the bottom left of the window when you are finished.
